X3T9.2/92-172R0 TO: Kathleen McMillan Manager Standards Processing X3 Secretariat CID: 75300,2667 DATE: August 20, 1992 SUBJECT: X3T9.2 Letter Ballot Procedure X3T9.2 intends to use the letter ballot process instead of roll call meeting votes to better utilize meeting time. This document outlines the procedure that will be used to conduct the letter ballot. This procedure is in compliance with the requirements of X3 as stated in the SD-2. A letter ballot will be sent to each principal member of record in X3T9.2 along with the document being voted on. The letter will also inform the member of the voting requirements and consequences of not voting. A letter will be sent to each alternate member informing them that the letter ballot is being conducted, the subject of the letter ballot, and the closing date of the letter ballot. The letter will also inform the alternate member on how to obtain a ballot if they determine one is needed. The observers will be notified via the committee mailing of the letter ballot.
